We are searching for a Business & Operations Assistant for immediate hire at its Asia Headquarters in Singapore. Reporting directly to the Chief Strategy Officer (CSO), the Business & Operations Assistant will:
  1. Provide executive support to the CSO in a one-on-one working relationship, serving as the primary point of contact for internal and external communications on all matters pertaining to the CSO's office and its running
  2. Provide operational support on a teamwide basis, serving as the lead for the client service team's functional needs
 
Executive Support to CSO:
  • Plan/coordinate/manage dynamic calendar of appointments; arrange complex and detailed local/international travel including daily schedules/itineraries/agendas; compile documents in preparation for meetings
  • Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CSO's time and office
  • Support development of presentations/briefs and draft both personal and professional correspondence and documents that may sometimes be confidential
  • Attend meetings with CSO and prepare follow up correspondence, task lists and/or reports
  • Develop, manage and optimize systems and processes related to finance, human resources and new business
  • Conduct research into areas of business interest, analyse data and prepare/present report of findings to CSO and Directors
  • Maintain discretion and confidentiality in professional and business relationships
  • Successfully complete critical aspects of deliverables with a pro-active, hands-on approach to all tasks that facilitate the CSO's ability to effectively lead the company
 
Operational Support to Team:
  • Develop and oversee compliance to administrative policies and standards within the organisation to ensure they adhere to company culture and ethos, working closely with the Head of Finance and HR
  • Actively contribute to shaping both the work and social culture and developing day-to-day SoPs for the organization, building and executive the team's social calendar etc.
  • Onboard and train other staff on office equipment, policies and procedures, including infrastructure set up (e.g. desk, device, G-Suite account)
  • General office and facilities management including liaison, including with landlord on terms of engagement etc.
  • Manage company’s vendors and partners to ensure cost and time efficiency is maximized

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and adaptability to various competing demands
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, and other external partners as well as a global team
  • Expert level of both written and verbal communication skills in English
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Work experience in the marketing communications industry is a plus
  • Is a holder of a Singapore work permit
  • Has excellent references

Qualifications:
  • Relevant Bachelor's degree or Diploma and/or at least three years' experience in administrative support, executive assistance, or office management
  • Capable/comfortable with MS Office and modern-day business/team/project management tools (Google Suite, Slack, Xero, etc.)
