The role is for Executive Project / Tasks Coordinator providing comprehensive coordination for executives while providing task coordination, managing budget/financial related matters, and providing effective communication and status reporting of assigned projects/tasks to ensure smooth operations for day-to-day activities.
•Responsible for coordination of tasks, schedules/calendars, status reporting and execution of tasks assigned to help facilitate team. Ensure optimal scheduling and engagement prioritization.
•Establishes and implements project management processes, essential materials for meeting updates and methodologies to ensure accurate documentation and follow up.
•Projects/tasks are delivered on time, adhere to high quality standards, and meet expectations.
•Responsible for understanding requirements and being able to assemble project plans and work with relevant stakeholders and teams to get tasks delivered.
•Review and work on task assignments, directing and monitoring work efforts daily, identifying resource needs, performing, and delivering quality; and escalating functional, quality, timeline issues appropriately.
•Responsible for tracking key delivery milestones and adjusting plans/schedules and/or resources to meet the requirements.
•Coordinates communication with all stakeholders/departments on programs/projects scope, requirements, and helps coordinate tasks as needed. Manages executive communication channels from emails to direct interactions.
•Able to prepare and present briefing materials for crucial meetings or engagements. Oversee travel and logistical arrangement, ensuring alignment with head of department.
•Uses corporate tools as required to help with all aspects of role.
•Helps maintain and systemize digital and physical files/documents guaranteeing efficient access and confidentiality.
•Able to multitask and manage multiple priorities with tasks/project that are diverse in nature.
•Monitors progression, tracking tasks, deviations and keeps stakeholders informed.
•Able to work on administrative tasks required for role.
•Degree/Diploma in Computer Science, Information Systems, Business Administration, or another related field. Or equivalent work experience
•Experience in Executive Administration or Project Management
•6-10 years IT work experience, with 3 to 5 years in managing projects
•Familiar with Office suite of products, especially Word/Excel and PowerPoint and project management and other organization tools
•Familiarity with project management methodologies and tools
•Demonstrate ability to multitask and prioritize effectively
•Exceptional written and verbal communication skills
