Responsibilities
- Involved in mailroom operations including ensuring the prompt & accurate distribution of incoming mail packages & franking/posting/courier of outgoing mails and all other activities related to mail operations e.g. recording, sorting, coordinating with vendors and staff.
 - Perform all dispatch duties including external dispatch from time to time
 - Assist in subscription coordination and delivery of local & foreign newspapers, periodicals, magazines etc.
 - Coordinate tender & RFQ processes; receive & record tender documents; arrange for admin rep in tender opening
 - Assist to negotiate for best rates, review/award contracts for mail handling such as Fedex, DHL, local courier services etc
 - Record incoming mails & inform recipient to collect daily
 - Process related invoices & cost charging
 - Mailroom budget and expenses tracking and monitoring; maintain cost efficiency
 - Raising of PRs / PVs / approval papers when required
 - Running reports for analysis; budget monitoring; process reviews & control etc.
 - Support different corporate offices / multiple site mailroom as and when required
 - Assist in Access card programming and processing
 - Any other ad-hoc duties as and when required
 
Requirements
- Minimum Diploma or equivalent
 - At least 2 years of experience, preferably in mailroom functions and admin support
 - Meticulous, well-organised and able to communicate with the team
 - Self-motivated with strong follow-up skills.
 - A good team player and willingness to learn
 - Good communication and strong follow up skills.
 - Proficient in Microsoft Office (Excel, Word and Outlook)
