Role Responsibilities
The role of a PMO encompasses a combination of people, processes and tools. The PMO Manager is responsible for the overall IT Project Portfolio Governance process and plays the role of a project coordinator between the team and the organization
This role is for a PMO Analyst within Client Coverage, Client Entity & Enablement. The role is key to the success of the program and critical in ensuring a well governed, proactively well organised and managed program. The responsibilities are required to be delivered under tight deadlines, across multiple geographic locations, with demanding stakeholders and under strict financial scrutiny. The ideal candidate is familiar with project controls, administration and toolsets across project delivery life cycle. The candidate should be “critical thinker”, actively demonstrating their analytical skills, ingenuity, initiative and sound judgment when it comes to supporting the Project Manager/s in all aspects of the project delivery. The candidate should be well organised with a structured approach to problem solving, organising and communicating to stakeholders.
Financial Management
Expert knowledge in financial management to ensure project financials are up to date and correctly captured in a timely manner
Analyse financial data, including project budgets, risks, and resource allocation. Providing financial reports and budget outlines to Hive Tech Lead and CPO.
Report financial fitness of the business initiative, highlight cost variances and adjust program forecasts
Ensure timely and proper issuance of purchase orders and processing of invoices, liaising with vendors
Manage expense claims related to projects, to ensure there is proper documentation
Oversight of the department’s cost centre – track expenses incurred, manage headcount, tracking APs, review journal entries
Manage and track accruals
Work with large amount of numerical data, perform data analysis and provide a transparent and detailed report to the management.
Ensuring compliance with the company’s financial rules and regulations
Track and improve financial status by analysing trends, forecasting future expenses, predicting possible impact to the forecasts and recommending actions to the management
Substantiate financial transactions by reviewing the underlying costs
Managing Clarity (or any Project Portfolio Management Tool)Management
Defining business initiatives in the tool, along with business benefits, processes, roadmaps and execution plan
Define, manage, track and report project financials using the tool
Effective resource management using the tool
Define and track milestones, tasks, streamline the workflow
Work with relevant units for milestone closure of project e.g., go-live attestation, tagging of assets & resources, capitalization of assets, sign-off.
Manage and report on the budget allocation for the business function
Manage labour and non-labour costs
Familiarity with the reports that the tool offers and use it effectively for better decision making, cost saving, identifying and resolving discrepancies
Transfer of Production costs (labour and non-labour costs) from Investment to BAU
Resource Capacity Management
Resource capacity needs to be managed across the program for effective utilization.
Focus on geographies, skills, experience level, niche skilled resources, diversity inclusion, contract staff
Maintain the resource management model which is of high quality and reliability of the underlying data, enabling the program to make better decisions for project prioritization
Create and maintain staffing plans
Makes recommendations to management regarding long-term contractors
Maintain the department organization structure, hiring and managing staffing requirements
Vendor Management / Supply Chain Management
Liaise with Vendor Management team to hire contract staff for the program from panelled vendors
Raise hiring requests / job requisitions for vendors to upload profile
Coordinate with hiring managers to review profiles and schedule interviews
Coordinate with vendor management team to finalize work orders and onboard contract staff
Ensure team follows fair hiring practices as per the guidelines defined by Vendor Management team
Liaise with SCM team to facilitate vendor engagements to hire contract staff for non-panelled vendors, procure software licences, consultancy services, other non-labour needs of the program.
Raise SCBuy request (Bank’s internal supply chain management tool) to initiate third party engagement
Perform Risk Assessments, contingency planning, technology and business resilience, tax assessments for the procurements
Coordinate with technology standards and central licensing team to secure approvals for license purchase
Prepare work order form / SOW for the engagement
Coordinate with signatories on both parties
Create and Manage Purchase orders for the contract
Track invoicing, transfer of costs to the project until closure of Purchase order
Governance
The role involves supporting the program / project manager in the project lifecycle, including preparing project management plan, setting deadlines, prioritizing tasks, and assigning team members to various deliverables.
Support oversight of all aspects of projects/programs under the scope of the PMO, from initiation to project closure
Establish and support governance and cadence of projects and programs under the scope of the PMO
Provide project status reporting, including change control, risk and issue identification escalation and management
Prepare consolidated status updates/reports for the Hive Tech Leads, CPO, including periodic updates for inclusion in the Portfolio reports
Pro-actively communicate with diverse group of stakeholders
Managing IT Infrastructure Costs
Overview of the department’s IT infrastructure – the components required to maintain the environments for projects to deliver IT services and solutions
These components include hardware, software licenses, networking components, data storage, cloud infrastructure
Responsibilities include
Maintain a central repository of all production, development and test environments
Cost of maintaining each environment
Maintain a repository of internal and external software licenses required by the project
Track cost of the software licenses in all environments
Liaise with the license vendor to process renewal of licenses
Liaise with the organizations license management team to procure new license
Recommend cost saving solutions to the team, encourage re-usability, sharing of resources
Obsolescence Management
Planning & Implementing strategy to manage end-of-life for the products, systems and licenses used by the application
Prioritize obsolescence tasks based on the risk, overall performance and cost
Other capabilities
Strong / Advanced knowledge of MS Office Suite of applications, any BPM tool, collaboration tools such as Confluence, Mural, Sharepoint
Must be detail-oriented, analytical, demonstrate high levels of accuracy in work output
Establish the R&R for the PMO role and define the operating model
Drive improvements into the PMO program and ensure industry best practices are leveraged
Display strategic thinking capabilities, with abilities to manage multiple goals and deadlines
Hive related D&I initiatives, champion other employee initiatives such as team recognition Awards, /volunteering etc.
Expert knowledge on advanced excel skills such as,
Managing large amount of numerical data with excel functions and formulas
Preparing reports, building pivots and charts
Perform verification and validation checks of numerical data
Task automation using excel macros and VBA

PMO with 10+ years’ experience in an organization that runs multiple cross-functional projects with interdependencies

Project Management Professional (PMP) certification
Experience in a supervisory or management position.
